How to record meeting with AI?

Setup Instructions

Connect Google Calendar or Calendly

  • Google Calendar: The AI will automatically join all meetings scheduled in your Google Calendar.

  • Calendly: The AI will join all meetings scheduled through your Calendly account. If you use a team Calendly, the AI will join all team meetings as well.

2. Install Chrome Extension

Install

  • Required: Everyone must install the extension to ensure AI knows all meetings, even those outside Google Calendar or Calendly.

  • Function: Before each meeting, the extension asks which AI agent should attend, and the AI joins accordingly.

  • Optional: Force installation company-wide via Google Apps settings. Help link


Step 2: Assign Meeting Agents

  • Select AI agents to receive meeting summaries.

  • If multiple agents are selected, the AI decides which agent receives which meeting summary.

Once an AI agent receives a summary, it processes the details (e.g., meeting summaries, action points, recording URLs, key discussion points) and acts based on connected tools and prompts.

For example, to log meeting details in Google Sheets, add Google Sheets as a tool with a simple instruction to record every meeting.
